As with most things, a great place to start before using and creating photography and video is the ASU Brand Guide. On the Brand Guide Photography and Video section you will find:

Where can I find photos?

​Please note: Photos may only be used to promote the ASU Herberger Institute, its units and programs. Photos may not be shared for external marketing use per the ASU photo release agreement.

ASU Brand Library (Canto)

Canto is the cloud-based digital asset management tool that the ASU Enterprise Brand Strategy and Management team uses to store ASU brand photography and imagery such as logos and other assets. You will need an account to view and download.

Herberger Institute photo galleries (PhotoShelter)

PhotoShelter is the digital asset management tool the Herberger Institute Communications and Marketing team uses to store photography specifically for the school and units within the Herberger Institute. Your unit communications liaison is an invited user to the Herberger Institute PhotoShelter account and has access to download photos from the galleries. (Liaisons also have access to add their photos to our galleries. See the ‘Sharing your unit’s photos’ section below for more information).

If you feel you need access to review and download photos from the gallery for a project or work, please connect with your unit liaison and submit a project request to ask for access.

Faculty portraits (ASU Widen)

Faculty and staff portraits will be kept in a separate area of Widen. Permissions are only given to a designated unit account - for the Herberger Institute, that is the Marketing and Communications team. If you need access to a faculty portrait, please make the request by submitting a project request.

Please note that after a faculty or staff member has their portrait captured, the Enterprise Brand Strategy and Management team will upload the photos into Widen and send that individual a private link to download them.

 

Below are some friendly reminders regarding portrait usage:

  • Faculty and staff members must be notified when their portraits are being utilized.
  • Faculty and staff member portraits cannot be used in general marketing endeavors.

Stock photos

What if I can't find imagery within the ASU Imagery collection or don't have a budget for photography?

Shutterstock, a paid subscription, is available for some of the imagery options. If you do not have a subscription, contact the Communications and Marketing Department with your image choice. Here is a quick way to get this started. 

  1. Select the desired image(s) and gather the designated URL and a screenshot for that image(s).
  2. Then submit your image request with the project request form​, ​and it will be reviewed. Include your deadline so that we can include it within our production schedule.​ In most cases we should be able to download the image for you, but there is a monthly limit so it will depend on other projects we are working for the current month.

Can I use free stock photograph - Creative Common websites? We strongly suggest not using free imagery. ASU's imagery should represent diverse, authentic and compelling experiences while aligning with the creative and innovative mission of the university and the Herberger Institute. Although in the short term, the free stock imagery might be meeting a project need, too often the free imagery can be found elsewhere – advertising/marketing for other companies. Plus, in leading the design and the arts for our faculty, students and community, often times the free imagery can be misleading in the mission of supporting our direct interest --- empowering our artists, students and community establishes our credibility.

How do I get events photographed or set up a photo session?

For most events or photo sessions, the unit will need to cover the cost of photography. You can hire any approved ASU photographer. Some photographers we have used in the past include:

Can the Herberger Institute pay for our photography?

The Herberger Institute Communications and Marketing team does have a limited budget allocated for photography for the year for each unit. The intended purpose of this photography budget is to grow the Herberger Institute library of high-quality imagery, which can be used in marketing and recruitment materials. If you feel your event or photo session meets this need, you can work with unit liaison to put in a project request for photography and we will review it to determine if we have the budget to hire a photographer.

Can I get a portrait for my ASU Search Directory? 

If you’re looking for photography for your faculty members to use in their directories or other places, ASU Enterprise Brand Strategy and Management makes portraits for employees during weekly open studio hours throughout the year.

How do I get a video created?

Herberger Institute Communications and Marketing has a small video team that can assist in producing your video content. For most video projects, your unit will be required to cover the cost of the production. After you submit your video request, the team will review the project and send you a quote. For certain high-level, institute-wide projects, the Herberger Institute Marketing and Communications will cover the costs. Please work with your communications liaison to submit a video request.

Rights and permissions

Model release forms 

For any photos and videos that will be used for marketing and communications purposes, you MUST have model release forms signed. This means any identifiable person in a photography or video must sign the form. You can get more information on these forms and download forms on the ASU Brand Guide Rights and Permissions page. For events, we recommend having the form signed as part of registration prior to an event or at a registration table at the event. If that is not an option, we recommend having a staff member walk around with the photographer and get releases signed. The photographer can point out to you who needs to sign the form.

ASU recommends using Easy Release® (low-cost, one-time purchase) app for getting model release forms signed in person. You can also download forms and find digitally fillable forms on the ASU Brand Guide

People in public places like the ASU campus can have their photo taken without their permission. However, without a photo release you can only use these images for personal or editorial use. Because most of the work ASU marketers and communicators produce is considered advertising or commercial use, we need to obtain photo/model releases and keep them on file.

In addition to model release forms, you should also download and print and crowd notification of photography/videography.

Copyright release for third party photos and student artwork release forms

Use of student taken images or videos, or images taken by any third party, requires permission. ASU’s Office of General Counsel has approved Student Artwork Authorization and Release and Student of Third Party Photographer/Videographer Authorization forms, which grant ASU a broad license to use the student or third party created content.
